I know there are countless digital tools for planning an Instagram feed and strategy, but many creators still prefer paper planners. This free printable Instagram planner was designed for those of us who like a tangible weekly view — especially helpful now that my schedule is busier with a baby. The planner lets you see your entire Instagram week at a glance and keeps posting and engagement tracking simple and organized.

The planner serves two main purposes: to plan what you’ll post and to track each post’s engagement. If you want to improve your Instagram consistency and better understand how your audience responds, this printable is a great starting point.

Let’s start with the planning features. At an Instagram seminar I attended, the recommendation was to post up to five photos a day. That may be more than most creators want to do, but aiming for three to five posts a day is a useful target. For that reason, this planner provides five slots per day. Each slot includes space to jot a brief idea for the photo and a line to note the planned posting time.

There’s also a dedicated area for story planning — a simple space to note ideas or reminders for the stories that will accompany your posts that week.

Next is the engagement tracker. Under each planned post you’ll find fields to record likes and comments and a checkbox to indicate whether you used a hashtag cloud. (A hashtag cloud is a saved group of relevant hashtags you can paste into posts; many creators reuse a few sets to save time.) Tracking these metrics across a week helps reveal patterns: do morning posts perform better? Do certain topics get more comments? Does using a hashtag cloud increase reach and engagement?

Two elements are vital when building an Instagram presence: consistent posting and careful engagement tracking. Consistency keeps you visible to your audience; tracking engagement shows you what content resonates so you can refine your approach.

At the end of each week the planner includes space to note the posts that received the most likes and comments, record your follower count at week’s end, and list goals for the upcoming week. These goals can be numerical (follower targets) or behavioral (post frequency) — writing them down helps with accountability.

I recommend keeping a binder with past weekly sheets so you can review growth and trends over time.
